Critical Document Services is committed to managing and protecting
the accuracy, security and confidentiality of our client's and their
customers' personal information. Our adopted Privacy Code promotes
responsible and transparent practices relative to the management
and safe-handling of personal information held in our care. Our
commitment is guided by Canada's Personal Information Protection
and Electronic Documents Act, defined as follows:
1. Accountability
CDS is responsible for managing and protecting the personal information
held within its control. We have appointed an individual to be responsible
for our organization's compliance and have incorporated a copy of
our Privacy Code into our employee handbooks.
2. Identifying Purposes
Reasons for collecting personal information will be identified before
and at the time of collection.
3. Consent
Individuals consent will be obtained before or at the time of collection,
except where the Act provides an exemption.
4. Limiting collection
Personal information will be collected discriminately, without deception
and without misleading individuals.
5. Limiting use, disclosure, and retention
Personal information will only be used or disclosed for the purpose
for which it was collected. Personal information will be retained
only as long as necessary to satisfy the purposes. Personal information
that is no longer required for an identified purpose or a legal
requirement will be destroyed, erased or removed from archives.
6. Accuracy
CDS must minimize the possibility of using incorrect information,
therefore we shall not change the accuracy of the personal data
supplied to us.
7. Safeguards
CDS shall protect personal information against loss or theft. We
shall also safeguard the information from unauthorized access, disclosure,
copying use or modification.
8. Openness
We shall inform our customers and our employees the policies and
practices which we have in effect for the management of personal
information.
9. Individual access
When our Privacy Officer receives a written request, an individual
will be informed of any personal information we have about them,
if the information has been used and a list of the organizations
to which the information may have been disclosed. Data is forwarded
to us from our customers for the purpose of providing business and
direct marketing communications on their behalf. If an individual
requests access to their personal information, that request will
be forwarded to the customer that provided the specific data to
CDS.
10. Challenging compliance
All questions or enquiries regarding compliance with our privacy
policies should be addressed to our Privacy Officer.
OUR EMPLOYEE'S RESPONSIBILITIES
Each employee is responsible for managing the confidentiality of
any personal information to which they have access. All employees
are required to sign a confidentiality agreement as a condition
of their employment.
Our internal procedures and our customized Client'
systems are employed to protect personal information from error,
loss, theft and unauthorized access. We retain our client's information
for only a minimum amount of time and subsequently dispose of the
data as directed by the governing service level agreement for that
client. CDS has implemented a number of policies to ensure personal
information protection compliance and the monitoring thereof. These
policies include, but are not limited the following:
==> A confidentiality agreement is signed by all employees as
a condition of employment;
==> A operating code of conduct has been documented for information
handling, archiving and appropriate use practices;
==> Access to information is monitored to ensure security and
confidentiality;
==> Service Level Agreements are implemented to confirm mutual
obligations relative to business processes and the use of the information
provided.
